What does void mean?

In the restaurant industry, precision and fast handling play a central role in the customer experience. A void is an important term covering the process of undoing or deleting an order in a POS system (till system). It may be an order made by mistake, a customer who changes their mind, or a payment that needs to be reversed.

A void contrasts with, for example, a cancellation, where a customer calls off a reservation or order in good time – you can read more about that here

With a void, the action usually happens after the order has been entered in the system, but before the payment has been fully processed or the item has been served.

A practical example:

A guest at a café orders a cappuccino but realises a few seconds later that they would rather have an espresso. The employee has already registered the cappuccino order in the POS system. Instead of completing and reversing it manually, the employee voids it – the system removes the cappuccino and registers the espresso instead. If payment has already started, the refund is handled automatically (if the system supports it).

Why the term matters

Understanding voids is important for ensuring correct stock management, financial overview and a smooth workflow among staff. Incorrect orders without a proper void can, for example, skew the bookkeeping or stock, or cause confusion in the kitchen.

In daily work with a POS system, it is crucial that both staff and managers can judge when and how a void should be made – and make sure it is carried out correctly.

How Flexybox uses the term in practice

With the Flexybox POS system, you can easily void orders directly from the screen. When you void an order, both the deletion and any refund are handled automatically by the system. This saves time, minimises errors and gives a smooth experience – for staff and guests alike.

It depends on your POS system. With Flexybox, refunds are handled automatically, so you can void and reverse in one process.

No, a void can also apply to goods, tickets, tables or services registered in the POS system – depending on your system and settings.

When an order is voided correctly, the associated products are automatically returned to stock, so stock levels are up to date and correct.
